Working with the Session Summary/Scheduler Paige Freeman May 18, 2023 19:59 Updated The Session Summary/Scheduler, available on master meeting products, allows users to view sessions in a calendar layout for a meeting, as well as drag and drop sessions to adjust time, filter sessions by room and track, access session details via menu, and quickly add a new session. From the Session Scheduler, you can perform the following actions: Create a New Session: Opens the meeting creation wizard in a new tab. Edit Event Info: Opens the session to the event info screen in a new tab. Edit Room: Opens the Assign a Room screen for the session in a new tab. View Attendance: Opens the Attendance screen for the session in a new tab. View Registrations: Opens the Registrations screen for the session in a new tab. Manage Tracks: Opens the Tracks screen for the session in a new tab. Manage Equipment & Supplies: Opens the Equipment and Supplies screen for the session in a new tab. Manage Speakers & Liaisons: Opens the Related Constituents screen for the session in a new tab. To use the Session Scheduler: From the Logistics tab on a master meeting product, select Session Summary.The Session Scheduler displays, as shown below. From the session scheduler, you can filter the calendar view by checking or unchecking the Rooms and Tracks displayed in the calendar. Unchecking a box will cause the session(s) with that room or track assigned to not display in the session scheduler calendar. From the session scheduler, you can drag and drop sessions to change the meeting time. When you move a session with a room assigned, a message will appear asking if you would like to update the room start date and time and end date and time to match the new meeting times, as shown below.Select Yes to update the room times, or No to keep the current room times. From the session scheduler, you can select the additional options menu from a session block to see more actions. The actions available include: Edit Event Info: Opens the session to the event info screen in a new tab. Edit Room: Opens the Assign a Room screen for the session in a new tab. View Attendance: Opens the Attendance screen for the session in a new tab. View Registrations: Opens the Registrations screen for the session in a new tab. Manage Tracks: Opens the Tracks screen for the session in a new tab. Manage Equipment & Supplies: Opens the Equipment and Supplies screen for the session in a new tab. Manage Speakers & Liaisons: Opens the Related Constituents screen for the session in a new tab. You can also create a new session from the Session Scheduler by clicking the New Session link, which opens the meeting creation wizard in a new tab. After making any updates using the additional options menu, upon closing the tab and returning to the Session Scheduler, a message displays stating "Recent changes may have been made. Refresh to get the latest changes". Click the Refresh icon to refresh the page and get the latest updates. You can also view the Session Summary alternate view from the Session Scheduler. This view allows you to see all sessions for the meeting in a searchable grid. To view the Session Summary view, select the summary view icon, as shown below.The Session Summary displays, as shown below. From the additional options menu on the Session Summary view, you can perform the following: Edit Event Info: Opens the session to the event info screen in a new tab. Edit Room: Opens the Assign a Room screen for the session in a new tab. View Attendance: Opens the Attendance screen for the session in a new tab. View Registrations: Opens the Registrations screen for the session in a new tab. Manage Tracks: Opens the Tracks screen for the session in a new tab. You can return to the Session Scheduler view by clicking the scheduler icon, as shown below.
