The Facility Occupancy feature assists ThreeSixty staff users in managing facility capacity and occupancy, helping enable Health and Wellness organizations to reopen under COVID-19 guidelines. The Stay Informed card on the Facility Occupancy page contains helpful tips and useful links to the Getting Started Guide for ThreeSixty Web Client and to a quick video on navigating the interface for beginners. Additionally, the online help topic on Facility Occupancy can be accessed directly from the Stay Informed card. Accessing Facility Occupancy The Facility Occupancy page can be accessed by selecting Facility Occupancy from the left navigation menu. The occupancy shown on the Facility Occupancy page is an estimation of the number of persons in the facility. Member scans are automatically included in the occupancy count. For guests or non-members who are not able to scan in, the occupancy count can be manually increased. On the Facility Occupancy page, click the edit pencil to update the occupancy directly. Users also have the option to increase and decrease the occupancy by small increments via the plus and minus buttons. Capacity and Visual Indicators The capacity for the Facility Occupancy page is determined by branch and will display based on the branch selected at login. For information on setting up capacity by branch, please see System Types and Codes in Back Office Setup for Facility Occupancy. Once the occupancy reaches the threshold limit , a visual indicator will display letting users know that the facility is nearing capacity. For information on setting up threshold limits, please see Application Parameters in Back Office Setup for Facility Occupancy. Once the occupancy is equal to or greater than the capacity of the branch, the visual indicator will change to say, “At Capacity”. Once the facility has reached capacity, staff must manually set the Hold Facility Access toggle to Yes to put the facility on hold. Reaching the set capacity does not automatically set the hold status. For more information, please see Putting the Facility on Hold. Refreshing the Data The top right corner of the Facility Occupancy card shows when the occupancy was last updated. When a user navigates to the Facility Occupancy or Facility Access page, the data will refresh and the timestamp will be updated automatically. The data will also refresh based on the refresh interval application parameter. The interval is based on the last system activity. Putting the Facility on Hold The Hold Facility Access toggle puts the facility on hold, preventing members from scanning in. This toggle must be manually set, and does not update automatically based on capacity or other factors. When this toggle is set to Yes, member scans are not allowed, and a message displays on the Facility Occupancy page, the Facility Access Central page, and on the Customer Facility Access/Quick Scan page, stating "Facility scans are currently on HOLD until a supervisor allows access." Staff are still able to update and edit the occupancy count using the edit pencil on the Facility Occupancy page and the plus and minus buttons on the Customer Facility Access/Quick Scan page. If a member attempts to scan in when the Hold Facility Access toggle is set to Yes, no search will be completed and no member will be displayed. The scan will not be tracked and the member will not have a “deny” on their facility access history. All members should rescan once the facility is no longer on hold so the system can accurately perform all checks and tracking. Additional Facility Occupancy Locations On the Customer Facility Access/Quick Scan screen, users can increase and decrease the occupancy but they cannot bulk update the amount. Granted member scans are automatically included in the occupancy count shown on this page. Use the plus button to manually increase the count for guests or non-members. On the Facility Access Central page, users can only view the current capacity and occupancy.
