Viewing a Constituent's Contact Tracking Records from the Constituent Profile Paige Freeman May 16, 2023 15:30 Updated From the Contact Tracking screen, you can view and edit contact tracking records, as well as perform additional contact tracking actions, such as deleting a record or creating a follow-up. You must belong to a security group with at least VIEW permission to the CRM360.ContactTracking application in order to view this screen. For more information, please see Constituents Security. View and Edit Contact Tracking Records To view constituent contact tracking records, select the Contact Tracking tab from the constituent record, as shown below. From this screen, you can filter contact tracking records by Unresolved, Overdue, and by Contact Date and Staff Assigned. The grid displays the Contact Date, the Customer, then the Contact Type, Topic/Subject, the Due Date, and the Staff Assigned. If there is no Due Date assigned, the Due Date and the Staff Assigned fields will not show within the grid. To open a contact tracking record, click the hyperlinked record title in the grid. The Contact Tracking detail displays, as shown below. If you click the 'X' in the top right corner of the tab, you will be directed back to the listing of contact tracking records. To edit a contact tracking record from the listing, select the pencil icon next to the corresponding record you would like to edit. Screen Element Description Person Contacted Displays the person contacted for the contact tracking record. On Behalf Of Displays the constituent that the contact tracking record was created on the behalf of. Attach File(s) Displays the respective links to files that have been attached to the contact tracking record. Staff Assigned Displays the staff assigned to the contact tracking record. Staff Originator Displays the staff person that created the contact tracking record. Private? Displays whether or not the contact tracking record has been marked as private. View Email Displays the link to emails that have been associated to the contact tracking record with the ThreeSixty Outlook Plug-In. Contact Date Displays the date of contact for the contact tracking record. Contact Type Displays the contact type for the contact tracking record. Completed Date Displays the date of completion for the contact tracking record if it has been completed. Due Date Displays the due date for the contact tracking record. Topic Displays the topic for the contact tracking record. Subject Displays the subject for the contact tracking record. Details Displays the details of the contact tracking record. Resolution Displays the resolution details of the contact tracking record. Pertains to Order/Gift Displays the order or gift associated with the contact tracking record. Market Code Displays the market code associated with the contact tracking record. Key Code Displays the key code associated with the contact tracking record. List Segment Displays the list segment associated with the contact tracking record. Campaign Displays the campaign associated with the contact tracking record. Fund Displays the fund associated with the contact tracking record. Appeal Displays the appeal associated with the contact tracking record. List Code Displays the list code associated with the contact tracking record. Additional Contact Tracking Options To perform additional actions with the contact tracking record, click the additional options menu within the grid. A drop-down menu will appear with options to Mark as Complete, Add Follow-up, Manage Topics/Subjects, and Delete, as shown below. Once a follow-up contact tracking record has been created, it will display in the grid as shown below: Clicking the arrow to the right of the follow-up contact tracking record will open a threaded view, where you can see all follow-up items, as shown below. Select Manage Topics/Subjects to select which topics and/or subjects apply to that contact tracking record. Use the tabs at the top of the grid to filter between Assigned and Unassigned Topics/Subjects. You can select or deselect the checkboxes next to the corresponding Topics/Subjects to assign or unassign them to the contact tracking record. Your changes are saved automatically on selection or de-selection of a checkbox. Select Done to return to the Contact Tracking page.
