Paying Balances Paige Freeman May 08, 2024 17:40 Updated From the Pay Balances screen, you can view a list of the constituent's orders in which a balance is due. To access this screen: From Accounting Central or the left navigation menu, select Pay Balances. From the order summary page, from the Actions menu, select Pay Balance. From the donation summary page, from the Actions menu, select Pay Balance. From the Order Detail section at the bottom of the order summary page, click the additional options menu to the right of the desired order line and select Pay Balance. If you access the Pay Balances screen from Accounting Central, you will have to first search for the Bill-To customer. If you access the Pay Balance screen from the Actions menu on the order summary page, all order lines in the order will display. Or if you access the Pay Balance screen from the additional options menu in the Order Detail section, only the selected order line will display. You can also create an unapplied receipt from this page. For more information, please see Creating an Unapplied Receipt. To pay a balance: From the Payment Application section, if you would also like to view orders with a zero balance, deselect the Show All Open Orders option and click Filter. You can also Include Deferred Orders by selecting that option and clicking Filter. Additionally, from this screen, you can add additional orders to the payment (see below) or transfer a credit balance. From the Payment Application section, select the appropriate order(s) that you want to pay, as shown below. If necessary, you can also pay for a balance on an order belonging to a different constituent. To add an additional order: Click Add an Order.The Search for Orders screen displays, as shown below. Using the filters at the top, search for the appropriate order. Select the desired order(s) from the grid (as shown above) and click Add Selected Orders.The selected order(s) are added to the Pay Open Balance screen. Enter the Receipt Amount. Click Continue to Payment. If a direct or deferred posting batch is NOT open, the Choose a Batch screen will display, as shown below. Batches to which the logged in user is the authorized user or belongs to the authorized group display. Select one of the batches list or click New Batch to create a new batch. The payment page displays, as shown below. Enter the necessary payment details and click Apply Payment.The Receipt Review screen displays, as shown below.
