Viewing Full Line Item Details Paige Freeman July 14, 2025 15:16 Updated The Line Item Details screen provides additional information on the selected order line. From here, you can view or edit information based on the type of product. The steps below assume that you are not currently viewing the order in which you want to view the full line item details of an order line in the order. If you are currently viewing the order in which you want to view the full line item details of an order line in the order, skip to step 3. To view full line item details for a line in an order: From the Orders Central page, search for the appropriate order. For more information, please see Searching for an Existing Order. From the order summary page, click the pencil icon in the top, right corner. From the Order Details section, click the additional options menu to the right of the desired line item and select Full Line Item Details, as shown below. You must belong to a security group with UPDATE permissions to the Order.LineItemDetails application in order for this menu option to display. The Line Item Details page displays, as shown below. Please note that the information that displays at the bottom of the screen depends on the subsystem of the order line. See the table below for more information. If necessary, you can modify the Description. If necessary, you can change the Line Status and/or Fulfill Status. If necessary, enter any Comments. If necessary, set the Print on Invoice and Packing Slip toggle to YES. From the Pricing Details section: If necessary, select a different Rate structure/code. The following information displays at the top of the Line Item Details screen, regardless of the product in the selected line: Field Description Order Line Information Description The invoice description defined for the product in the selected line. Please note that for subscription and membership products, the product description will also include the start and end dates. Line Status The status of the selected line in the order. Each subsystem has its own set of line statuses, as defined by the fixed codes for the LINE_STATUS system type. Fulfill Status The status of the product in the order. Each subsystem has its own set of fulfill statuses, as defined by the fixed codes for the FULFILL_STATUS system type. Comments If necessary, you can enter any comments about this order line. Print on Invoice and Packing Slip When you set the “Print on Invoice and Packing Slip” toggle to YES, the entered information is added to invoices and packing slips. This option is only available when entering comments for a line item. Pricing Details Rate Structure/Rate Code The default rate structure/code assigned to the order based on the selected ship-to constituent. If necessary, this value can be manually changed. You may adjust a product's Rate Structure and Rate Code, but you will need to Update Pricing to reflect those changes on screen. Discount Override Allows you to change the amount of discount on the order line. Block Tax If a customer forgets to tell you that they are tax-exempt at the time the order is placed, you can come back to the order and set this toggle to YES to remove tax from the order. This toggle only appears when tax is applied to the order line. Price Override Allows you to change the price on the order line. For more information, please see Changing the Price of an Order Line. Quantity The quantity selected on the order. If necessary, you can change this value and click Update Price. Unit Price The unit price is based on the selected rate structure and rate code. Unit Discount The amount of discount on the order line. Tax Amount The total amount of tax on the order line. Line Total The calculated line total after discounts. Payment Information For Fundraising products, this section will appear for Cash and Pledge gift types. Cash gifts will only have the Auto Pay Method field display. Auto Pay Method Drop-down. Displays a list of the constituent's saved credit or debit cards to select from. Pay Frequency Drop-down. Displays a list of payment frequencies. This field is validated against fixed ORD app type code: “PAY_FREQUENCY”. Number of Payments Text box. Defaults based on the Pay Frequency selected. For MBR and SUB product orders, this field will populate based on the cycle Begin and End date. Add New Card Link. Opens the Add Credit Card page to add a new saved credit card to the constituent record. Add New EFT Link. Opens the Add Bank Account page to add new banking information to the constituent record. Last Installment Amount Text box. Enter the last installment amount if necessary. This field will only display when the Auto Pay Method selected is EFT. Last Installment Date Date chooser. Select the last installment date if necessary. This field will only display when the Auto Pay Method selected is EFT. Prenote Required Toggle. This identifies whether the system needs to prenote the bank account before the first payment can be processed. This field will only display when the Auto Pay Method selected is EFT. The following information displays at the bottom of the Line Item Details screen based on the product in the selected line: Field Description Database Information Fundraising Product Information Donor and Gift Information Solicitor Search field. The solicitor assigned to the donor. Key Code Search field. This code identifies the combination of the marketing piece (e.g., brochure, mailing, etc.) and list code used to solicit the customer. Selecting a value automatically populates the Market Code and List Code. Market Code Search field. This code identifies the source of an order if it is based on a promotion created for a marketing campaign. Market codes are validated against the order detail date. List Code Search field. This code identifies the mailing list from which the customer was solicited. Campaign Search field. The Campaign for which the gift was made. Fund Search field. The Fund for which the gift was made. Appeal Search field. The Appeal for which the gift was made. Recurring Gift Recurring Gift Toggle. Select Yes to mark the gift as a recurring gift and to open the Recurring Gift fields for edit. This option will only be enabled if the CASH gift has the Allow Recurring Gift checkbox checked on the General Setup screen in Gift Code Maintenance. Status Drop-down. This status will be updated to "Renewed" when the FND680 or FND681 batch process is run. If the FND680 or FND681 is currently being run, this status will be "In Process". This status will display as "Rejected" if the donor's credit card information needs to be updated. Update this status to "Cancelled" to stop the recurring gift. Values in the drop-down are populated based on the fixed codes defined for the FND "RECURRING_GIFT_STATUS system type. Frequency Drop-down. The frequency of the recurring gift. Values in the drop-down are populated based on the non-fixed codes defined for the FND "GIFT_FREQUENCY" system type. Next Recurring Date Date Chooser. Automatically populates based on the Recurring Gift Frequency selected. For example, if "Monthly" is selected as the recurring gift frequency, this date will default to one month from today's date since the current donation counts as the first recurring donation. Tribute Information Tribute Type Drop-down. Allows organizations and donors to categorize the type of tribute for which a donation is being made. A tribute type can be assigned to a Fund, Campaign or Appeal and to a Matching Gift Plan. Example tribute types include IN_MEMORY_OF, IN_HONOR_OF and IN_SUPPORT_OF. Values in the drop-down are populated based on the codes defined for the non-fixed FND "TRIBUTE_TYPE" system type. Dedicated to Search field. Search for an existing constituent to which the gift is dedicated. Create Soft Credit Toggle. Soft credits can be created for the donor for Cash and Pledge fundraising products. All other fundraising products (including credits entered manually) are considered soft credits. Dedicated to/for Text box. Enter a message or description of the donation. Acknowledgement to Search field. If you want the acknowledgement letter to be sent to the contact person's primary address, search for the constituent to be notified of the tribute donation. Name and Address Fields If you do not select a constituent in the Acknowledgement to field, you can manually enter the constituent's Prefix, First Name, Last Name, Email Address, Company, Country Code, Address Line 1, Address Line 2, Zip Code, City, and State. Letter Code Drop-down. Options in the drop-down are populated based on the standard letters defined on the Standard Letter Maintenance. Please note that only standard letters with a LETTER_TYPE of "TRIBUTE_ACKNOWLEDGEMENT" will display. Values in the drop-down are populated based on the codes defined for the non-fixed FND "LETTER_TYPE" system type Personal Message Text Box. Enter any personal message to be included on the acknowledgement letter. View Tribute Acknowledgement Button. Opens the Tribute Acknowledgement letter in a new tab. Email Tribute Acknowledgement Button. Opens the default email client to a new email with the Tribute Acknowledgement letter attached. Matching Gift Matching Gift No Displays the Order Number for the matching gift donation. Matching Gift Plan Displays the matching gift plan number. Gift Date Displays the date the matching gift was created. Matching Gift Donor Displays the matching gift provider. Click the hyperlinked Matching Gift Donor to open the Constituent Summary in a new tab. Total Matching Gift Displays the amount of the total matching gift. Matching Gift for this Donation Displays the amount of the matching gift for this donation. Status Displays the status of the matching gift. Matching Gift Employer/Employee You can manually enter the name of the Matching Gift Employer and/or Matching Gift Employee. Please note that these fields may have been populated from a donation made on the web via the Donation Wizard control. Stock Details Symbol Text field. The stock symbol. Description Text field. The name of the company associated with the stock. Stock Shares Text field. Enter the number of shares of stock donated. Value on Receipt Date Number field. The value of the stock on the date it was received. Value on Sale Date Number field. The value of the stock on the date it was sold. Sale Date Date Chooser. The date of the sale. Brokerage Firm Text field. The brokerage firm managing the gift. Contact Text field. The broker contact person managing the gift. Contact Phone Text field. The phone number of the contact person managing the gift. Related Information Value Number field. The value of the asset. Delivery Date Date Chooser. The date the asset was delivered. Description Text field. The description of the asset. Sale Value Number field. The value of the asset on the date it was sold. Sale Date Date Chooser. The date the asset was sold. Inventoried Product Information Warehouse The warehouse from which the product in the selected order line will ship. If the order line has not yet shipped, the warehouse can be changed if there is an alternate warehouse defined for the product. WAREHOUSE_ID in ORDER_DETAIL Bin Location The bin associated with the warehouse from which the product in the selected order line will ship. If the order line has not yet shipped, the bin location can be changed if there is an alternate bin associated with the selected warehouse. BIN_LOCATION in ORDER_DETAIL Ship Date If the product is not inventoried (the “Inventoried” checkbox was deselected during product setup), this field is set to the current date. If the product is inventoried, this field is set to the date that the product was shipped. SHIP_DATE in ORDER_DETAIL Tracking No. The unique number provided by the shipping carrier to track the package. A value may be manually entered in this field or may be automatically populated by INV610. TRACKING_NO in ORDER_DETAIL Calculated Ship Amount The calculated shipping amount charged for the order line. ACTUAL_CALCULATED_SHIP_AMOUNT in ORDER_DETAIL Free Ship Amount The shipping amount that would have been charged had the order not been given free shipping. Also displays the Free Shipping rule Description. ACTUAL_FREE_SHIP_AMOUNT in ORDER_DETAIL Meeting Information Meeting The name of the meeting product. LONG_NAME in PRODUCT Location The location defined for the meeting. LOCATION in MTG_PRODUCT Meeting Room The meeting room location defined for the meeting. DESCRIPTION in MTG_FACILITY_ROOM Start Date and Time The begin date and time of the meeting. START_DATE in MTG_PRODUCT End Date and Time The end date and time of the meeting. END_DATE in MTG_PRODUCT Confirmation Date The date on which the meeting registration was confirmed. This field is populated when confirmation letters are generated by the ORD660 batch process when the FORMAT parameter is set to "CONFIRMATION". CONFIRMATION_DATE in ORDER_DETAIL Membership Information Start Date The start date of the membership. If necessary, this can be changed. Changing the begin or end date of a membership could have an effect on the pricing if the organization is using the proration feature. You may want to change the start and/or end date of a membership if the member would like to defer their begin date to the next month or a month in the future. When you change the Start Date, the End Date will automatically change to give a full 12 months if the membership scheme is set up for anniversary-based membership. If not, the End Date will stay the same. In some cases, you will need to extend the end date to give a member additional months of membership. Changing the End Date will not affect the Begin Date. CYCLE_BEGIN_DATE in ORDER_DETAIL End Date The end date of the membership. If necessary, this can be changed. Changing the begin or end date of a membership could have an effect on the pricing if the organization is using the proration feature. You may want to change the start and/or end date of a membership if the member would like to defer their begin date to the next month or a month in the future. The expectation is that you will usually check the Auto Renew option on the payment page when paying by credit card. If you select this option for an order line in the order, and if there are other renewable products in the order, the system will also select this option for other renewable order lines for membership and subscription order lines where the cycle end date is greater than or equal to (>=) the current date. n/a Initial Begin Date The initial begin date of the membership. This can be different than the Start Date. If necessary, this can be changed. Changing the initial begin date will only change this order. INITIAL_BEGIN_DATE in ORDER_DETAIL Next Order Renewal Date Automatically populated when the next period’s order is activated. RENEWAL_DATE_NEXT_ORDER in ORDER_DETAIL This Order Renewal Date Populated when the order is activated and the order is a renewal of membership. RENEWAL_DATE_THIS_ORDER in ORDER_DETAIL Ignore Zip-Linked Recalculation If a member’s chapter needs to remain the same during the renewal process even if they have moved to another region or for any other reason, set the Ignore Zip-Linked Re-Calculation toggle to YES. Renewal Notice Count The number of renewal notices that have been sent to the constituent. This number is updated when the MBR655 batch process is run for this order. RENEWAL_NOTICE_COUNT in ORDER_DETAIL Dues Basis History Click the hyperlinked constituent name to navigate to the Dues Basis screen for the constituent. Recalculate Dues Click the button to recalculates the dues based on the information you changed on this screen. If the company updates the basis value, the dues need to be recalculated. Miscellaneous Invoice Information Recurrence Frequency If the selected order line is for a product with a recurring invoice, the recurrence frequency can be set here. Options in the drop-down are populated based on the fixed codes defined for the MISC "RECURRING" system type. RECURRING_CODE in ORDER_DETAIL Renewal Created Whether or not a renewal has been created for the order line by MISC665. n/a Subscription Information Start Date The start date of the subscription. If the Can Change Start Datecheckbox is checked in the product setup, the start date of the subscription can be changed. To change the start date: Click the search icon to the right of the Start Date field.The Subscription issue chooser page displays, as shown below. Select the appropriate issue and click Select. CYCLE_BEGIN_DATE in ORDER_DETAIL End Date The end date of the subscription. If the Can Change End Datecheckbox is checked in the product setup, the end date of the subscription can be changed. END_ISSUE and END_SUPPLEMENT in ORDER_DETAIL Initial Begin Date The initial begin date of the subscription. This can be different than the Start Date. If necessary, this can be changed.
