For addresses, you can define how the address is structured when labels are generated. The process is particularly helpful if you have customers outside the United States, where telephone and address rules may differ. This also allows the system to validate some aspects of addresses. This also allows the system to validate some aspects of phone numbers. You must have access to the Settings.ApplicationSettings security application to access this page. The address components that must be defined include: Address Lines 1, 2, 3, 4 City Country Code Country Description County Postal Code State The phone components that must be defined include: Area Code Country Code Extension Phone Number To set the address and phone structures: From the Settings section of the left navigation menu, select Application Settings. From the Application Settings page, select Address and Phone Structures from the Localization section.The Address and Phone Structures page displays, as shown below. To edit an address or phone structure, select the edit pencil next to the appropriate country in the grid.If no Address Structure exists for the country, a message will display. Select Yes and then Save to create the address structure for the country. This will populate the structure from All Countries.If no Phone Structure exists for the country, a message will display. Select Yes and then Save to create the phone structure for the country. This will populate the structure from All Countries.The Address and Phone Structures page displays for the country. From the Address Structures grid, select the edit pencil in the grid to edit the corresponding structure.The Edit Structure page displays. Enter the Screen Title of the component. Enter the Line # on which the component will display. Enter the Position. Enter the Delimiter. Enter the Max Length of the component. Select the appropriate toggles: Required Available on Label Available on Screen Active Click Save. Repeat for any of the address structure components in the grid. From the Phone Structures grid, select the edit pencil in the grid to edit the corresponding structure.The Edit Structure page displays. Enter the Prefix. Enter the Suffix. Enter the Minimum Length. Enter the Maximum Length. Enter the Format. Select whether or not this phone structure is Available. Click Save. Repeat for any of the phone structure components in the grid. To preview the address or phone structure, select Preview Structure from the contextual menu next to the grid headers. Screen Element Description Address Structures Screen Title Text box. A user-defined screen title. The screen title is very similar in approach to the metadata used to allow label customizations on a form. Line # Text box. Indicates the position of the address component in the label view. Position Text box. Indicates the position of the address line. Delimiter Text box. For multiple line items on a single address line, you can specify an optional delimiter to insert between the address components. For example, the United States uses the “City, State Zip” format with a comma and a space being the delimiter. Max Length Text box. This indicates the maximum acceptable length for the field. For example, even if the database column has a length of 80 characters, the customer may want to limit an address line to only 32 characters, which is the number that will properly print on an address label. The hyphens are included in the count for the length. Required Checkbox. When checked, indicates this component is required in the address. If states/provinces are defined for a country on the Country and State Code Setup page, the state/province will inherently be required. Therefore, it its recommended that you check this checkbox for address structures in which states/provinces are defined for the country. If you do NOT want the state to be required, you should delete all of the states/provinces on the Country and State Code Setup page. Available On Screen Toggle. When checked, indicates this component appears on the address modification screen. Available On Label Toggle. When checked, indicates this component is used in the generation of the formatted label. Active Toggle. When checked, indicates this entire address structure is active and available. When unchecked, users cannot select the country code. If the default country code is inactive, you must change the default country code to an active country code. If the country for which the address structure was created is no longer active, then the Active flag for the address structures related to the country are automatically set to “N” and cannot be changed. Generate Structure Button. When clicked, the address structure is generated so you can preview the appearance. Phone Structures Prefix Text box. A user-defined value for the prefix to the phone component. For example, the United States uses parentheses to offset the area code of a phone number. The “(” is the prefix and the “)” is the suffix. Suffix Text box. A user-defined value for the suffix to the phone component. For example, the United States uses parentheses to offset the area code of a phone number. The “(” is the prefix and the “)” is the suffix. Minimum Length Text box. The minimum database field length. Used in conjunction with the Maximum Length field. For values that are specific, enter the same number in both fields. For example, if an extension format is always 3 digits then enter 3 in both the Minimum and Maximum Length fields. If on the other hand, the extensions can be 2 or 3 digits, then enter 2 in the Minimum Length field and 3 in the Maximum Length field. Maximum Length Text box. The maximum database field length. This field works in conjunction with the Minimum Length field. See the description of the Minimum Length field for more information. Format Text box. The arrangement of the numbers in the phone number. A value of "#" indicates that the phone component accepts alphanumeric values. Available Toggle. When checked, indicates the phone component is available for a particular country.
