Viewing and Editing Product Setup

The fields available on this page may vary depending on the type of product you are viewing. 

To view and edit product setup:

1. To view the Product Setup screen for a product, select Product Setup from the Product Info tab within the product profile.
   The Product Setup screen displays, as shown below.
   
2. To edit the information in the fields on the Product Setup screen, click the pencil icon in the upper right corner of the screen.
   The fields become available to edit, as shown below.

Screen Element	Description
Product Name	Displays the product name for the product.
Invoice Description	Defaults to the Product Name. If your Product Name is extraordinary long, you can edit the Invoice Description to 50 characters. If the Invoice Description is longer than 50 characters, it will be cropped off the invoice.
Product Manager Email	The product manager's email address.
Master Product	When set to NO, it implies that the product cannot be entered directly without already having another product with the same parent product but different product code.
Members Only	When set to YES on the Product Setup screen, indicates this product is only available for members.
Allow Price Update	When set to YES, the Unit Price field is editable on the Order Entry screen and the Line Item Details screen. If the price of the product is $0 and this toggle is set to YES, the Line Status will default to Proforma regardless of the Org Unit Line Status default. The system assumes that the price will be manually changed. This does not apply for Package products.
Zero Price	When set to YES, indicates this product is available for $0. If the Zero Price toggle is set to YES for a product with pricing defined, there may be errors in display on the web. Before setting this toggle to YES, make sure there is no pricing defined for the product. This does not apply for Package products.
One Price Only	Toggle. When set to Yes, indicates pricing cannot be targeted solely to one rate structure and all rate structures receive the same price. Processing time is quicker when the product is available to all purchasers and this toggle is set to Yes. When set to No, indicates the rate structures apply to the price of the product. This does not apply for Package or Advertising products.
Renewable	Toggle. When set to Yes, indicates this product can be renewed. Applies to Membership and Advertising products.
Primary Search Group	Search field in Edit mode. This is an optional feature that allows organizations to assign a search group code to products and customers, so that back office staff assigned to that primary search group can optionally pre-filter searches for customers or products by their assigned primary search group. Primary search group codes are defined on subgroup customer records and mapped to zip codes. An organization can have customers be automatically assigned to a primary search group based on the zip code of their primary address by setting the APP AUTOMATIC_SEARCH_GROUP_ASSIGNMENT application parameter to "Y". You must have access to the PRIMARY_SEARCH_GROUP access point to set up the Primary Search Group.
Subsystem	The area, or module, associated with the product.
Product Code	For master products, the Parent Product is the same as the Product Code.
Parent Product (Media Code for ADV products)	For master products, the Parent Product is the same as the Product Code. This code must be unique and can be alphanumeric.
Product Type	The primary type of product. The type selected affects the choices for Product Class.
Product Class	Used to classify any product (master or subproduct) to distinguish between break-out sessions and social events from general sessions. The options available are determined by the Product Type selected during creation.
Product Status	Displays the status of the product. Options include Active, Cancelled, and Discontinued.
Status Date	System-generated status change date.
Currency	Select a type of currency to associate with the product. Values can include United States Dollar (USD), Pound Sterling (GBP), Euro (EUR), or Japanese Yen (JPY). This does not apply for Package products.
Available to Order	When set to YES on the Product Setup screen, sets this as an active product for purchase by customers.
Available From	The date from which the product will be available from.
Available Through	This field is usually left blank unless there is a specific date on which registrations will close. If a date is entered, the product will not be available for orders after this date.
Certifications
Customer Type	Read-only. The customer type associated with the certification product. For example, Individual or Committee. The value is populated based on the information entered in the Certification Definition screen.
Credentials	Read-only. The credentials associated with the certification product. The value is populated based on the information entered in the Certification Definition screen.
Transcripts
Official Transcript Limit	When a customer purchases a transcript product, the customer is receiving the right to obtain a defined number of official transcripts. This identifies the number of official transcripts that can be obtained by the customer. If the value is changed, only future purchases are affected. When a Printed Transcript of Subscription Transcript product is purchased, the OFFICIAL_TRANSCRIPTS_PURCHASED, OFFICIAL_TRANSCRIPTS_PRINTED, and TOTAL_TRANSCRIPTS_PRINTED in the TRN_Cus_Control table are incremented based on the order quantity times the number of transcripts defined for the transcript product here. If the order line is cancelled, the fields are decremented by order line quantity times the number of transcripts defined for the transcript product here.
Time Limit on Service	When a customer purchases a “Subscription” transcript product, the customer is purchasing the right to obtain official transcripts for a period of time. This field identifies the number of months over which the customer can obtain the official transcripts.
