Creating an Awards Program Paige Freeman January 08, 2024 13:58 Updated Defining an awards program is a two-step process: The awards program is defined, as reviewed below. An awards program only needs to be defined once. Each award to be given is defined. Typically, an award for an awards program is given each year, so each year a new award would be defined. To create a new award, users can copy the previous year’s award. Nominees, reviewers, etc. are then attached to each award. Awards can be set up to require nominations or not, and to allow self-nominations or not. If an award requires nominations, they can be entered via an online award nomination process or manually through the back office. The awards program is the umbrella under which the individual awards are defined. For a detailed description of each field on the Manage Awards Programs page, please see the table below at the end of the step-by-step instructions. To create a new awards program: From the Award Central page or the left navigation menu, select Manage Awards Programs.The Manage Awards Programs page displays, as shown below. Select +New Award Program. The Add Award Program page displays, as shown below. Enter the Award Program code. Enter the Program Name. Select the Program Type from the drop-down. By default, the award program is Active. If necessary, you can set this toggle to No. By default, the award program is Web Enabled. If you do not want this award to display in the awards listing on the web or to be available for the online award nomination process, set this toggle to No. If necessary, organizations can display information about the awards program on the award detail page on the web that is different than information about the award. Enter the Web Short Description and Web Long Description, if necessary. Add an Image by selecting the Select files button. The image defined for the award displays on the awards detail page on the web. Select Save to save your awards program.Upon save of your awards program, you are returned to the Manage Awards Programs page. Now that your awards program has been created, you can manage and add awards from the contextual menu. Screen Element Description Award Program Text box. A unique user-defined code used to define the award. ORG_ID, ORG_UNIT_ID, and AWARDS_PROGRAM_CODE together must be unique. Maximum length = 24 characters. Program Name Text box. The name of the awards program. Maximum length = 255 characters. Program Type Drop-down. Indicates the user-defined program type, which can be used to further differentiate one awards program from another. Values in the drop-down are populated based on the codes defined for the non-fixed AWD "AWARD_PROGRAM_TYPE" system type. Active Toggle. When set to YES, indicates the awards program is active. If there are active individual awards defined for this program, the system will display a warning message if you set this toggle to NO. If you continue and inactivate the awards program, all active awards linked to the program will also be inactivated. Web Enabled Toggle. When set to YES, indicates whether the awards program information will be displayed in the awards listing on the web and will be available for the online award nomination process. Please note that the awards program must also be active to display on the web. If there are web-enabled awards defined for this program, the system will display a warning message if you set this toggle to NO. If you continue, all web-enabled awards linked to the program will be updated to be not web enabled.
