Primary Search Group Paige Freeman May 03, 2023 18:09 Updated Your organization might want an option to filter searches for customers and products based on the Primary Search Group assigned to the user. You can assign users to a specific Primary Search Group (generally a chapter or region). This gives the ability for the user to search through ThreeSixty based on their Primary Search Group. After defining basic subgroup parameters and setup, you can use the Primary Search Group Postal Mapping section to associate specific zip codes to a Primary Search Group. To access the Primary Search Group page, select Primary Search Group from the Profile Info tab on the Subgroup Summary page. If the APP AUTOMATIC_SEARCH_GROUP_ASSIGNMENT application parameter is set to 'Y', the Primary Search Group is automatically populated for each customer, based on the customer's primary address. Switching the Include as Primary Search Group toggle to from Yes to No clears this Primary Search Group anywhere that it has been assigned in the application, including for Individuals, Companies, Committees, Products, and Meetings. This will also clear the Primary Search Group number field in the database and in the Desktop application, as well as clear any associated postal codes. For example, if the Primary Search Group has been assigned to a product or a user and the toggle is then set to No on this page, the field will cleared for the product and the user.If the toggle is changed back to Yes, the Primary Search Group will not be automatically assigned back to previous Individuals, Companies, Committees, Products, Meetings, or Users. Only Subgroups with this toggle set to Yes will appear in the Primary Search Group quick lookup fields. Access Points The following access points are used by Primary Search Group functionality: Access Point Description PRIMARY_SEARCH_GROUP Allows the user to view and manage Primary Search Group for Individuals, Companies, Committees, Subgroups (including Primary Search Group setup), and Products. SEARCH_OUTSIDE_PMRY_GRP Allows the user to search outside their Primary Search Group. If the user does not have this access point assigned, they will be restricted to their assigned Primary Search Group. Application Parameters The following application parameters are used by Primary Search Group functionality: Application Parameter Description APP AUTOMATIC_SEARCH_GROUP_ASSIGNMENT Allows you to assign certain users to a specific Primary Search Group based on their country code and postal code. You need to populate the CUS_Search_Group_Postal_Map table with the appropriate mappings and create a search group record for each of the subgroups and units within the subgroup (guild, branch, etc). Please note that this is not segmentation. This allows you to assign values to new customers based on the country and postal code of their primary address and then, optionally, use these in customer searches to reduce the number of records returned based on the Primary Search Group of the user. CUS MAX_PRIMARY_GROUP_POSTAL_MAPPING The maximum number of postal codes that can be mapped to a Primary Search Group Subgroup at a time. Adding postal mapping to a Primary Search Group via a Subgroup allows constituents to be associated with that Primary Search Group. This parameter determines the max number of postal codes that can be generated and then mapped at a time. Allowing users to generate more than 200 postal codes will take longer to load and affect performance. 200 is the default value for this parameter. If a user attempts to generate more than the value set for this parameter, they will receive the error: "This would generate more than [parameter value] postal codes. Please limit your criteria." APP AUTO_CREATE_SUBGROUP_PRIMARY_SEARCH This parameter controls whether a Subgroup will automatically be a Primary Search Group upon Subgroup creation. Set the Parameter Value to Y to auto create Subgroups as Primary Search Groups or N to not. The default value of this parameter is N. Postal Code Mapping To create a primary search group postal code mapping: From the Subgroup Summary page, from the Profile Info tab, select Primary Search Group.The Primary Search Group page displays, as shown below. From the Postal Code Mapping section, select the +New Postal Code Mapping hyperlink.The Add Primary Search Group Mapping page displays, as shown below. From the Add Primary Search Group Mapping section: Select the Country from the drop-down. Select the State from the drop-down. Enter in the Postal From. Enter in the Postal To. Select the Generate Postal Codes button.The Postal Code(s) within the specific range display(s) in the Postal Code Map grid below.If only Country and State are entered and this button is selected, the postal codes for that state will be pulled into the Postal Code Map grid. If Country, State, Postal From, and Postal To are entered and this button is selected, the postal codes will be pulled into the Postal Code Map grid based on Postal From and Postal To. If the same postal code is entered in both Postal From and Postal To, only one postal code will be added. If only Postal From is entered, only one postal code will be added. If the Country, State, and a range of postal codes that are for two different states are entered, only the postal codes for the State selected from the drop-down will be added.If there are postal codes that are already mapped to a different Subgroup/Primary Search Group, a validation message will display, stating "You are going to update [number of postal codes] existing Postal Code Mapping(s). Do you want to continue?" Selecting Yes will map all the postal codes to the new subgroup. Selecting No will return the user to the Add Primary Search Group Mapping screen with the same postal codes generated in the grid maintained. To map the Postal Codes displayed in the Postal Code Map grid to your Primary Search Group, select Save.The selected Postal Codes will update their Primary Search Group to your selected Primary Search Group and display in the Postal Code Mapping grid From the Postal Code Mapping section on the Primary Search Group page, you can also: Delete specific postal codes using the contextual menu in the grid Delete all postal codes by selecting the Delete All Postal Codes option from the Postal Code Mapping contextual menu.
