Viewing and Updating a Constituent's Demographics Paige Freeman May 08, 2024 13:22 Updated From the Demographics screen, you can view demographic information for the selected individual or company constituent. You must belong to a security group with at least VIEW permission to the CRM360.CustomerDemographics application in order to view this screen. To view the Demographics screen for a constituent, select Demographics from the Profile Info tab. From this screen, you can edit existing demographic information or add a new custom demographic. The Vendor Number and Vendor Site ID are populated by the Vendor Number Update FAR803 batch process and cannot be edited. Editing Demographic Information To edit demographic information: Select the pencil icon in the upper right corner of the screen.The Edit Demographics screen displays. For individual constituents: The constituent's Constituent Class was defined during constituent creation. If necessary, change this. If necessary, change the Constituent Status.Values in the drop-down are populated based on the non-fixed codes defined for the CUS "CUSTOMER_STATUS" system type. The Status Date is set to the date in which the constituent was created and cannot be changed. If necessary, select the constituent's Birth Date. The Age field below calculates automatically based on the selected Birth Date. If necessary, select the constituent's Gender.Values in the drop-down are populated based on the non-fixed codes defined for the CUS "GENDER" system type. If necessary, select the constituent's Ethnicity.Values in the drop-down are populated based on the non-fixed codes defined for the CUS "ETHNICITY" system type. If necessary, select the constituent's Marital Status from the drop-down.Values in the drop-down are populated based on the fixed codes defined for the CUS "CUS_MARITAL_STATUS" system type. If necessary, enter the constituent's Social Security Number (SSN).Based on the SSN_FORMAT application parameter, you can enter the entire Social Security Number or just the last four digits. By default, the Preferred Currency is set to the organization's base currency.However, if a customer is created with an international address, and an exchange rate is setup, the currency of the country of their primary address is set as the customer's preferred currency. If necessary, change this. If necessary, select the constituent's Preferred Language.Values are populated based on languages defined on the Language Maintenance (APP004) screen. If necessary, select the constituent's Job Function from the drop-down.Values in the drop-down are populated based on the non-fixed codes defined for the CUS "JOB_FUNCTION" system type. Enter the constituent's Primary Job Title.Please note that the primary job title entered here will default into the Job Title field when creating a new address for this customer. If necessary, select the customer's Annual Income Range.Values in the drop-down are populated based on the non-fixed codes defined for the CUS "ANNUAL_INCOME_RANGE" system type. If necessary, enter the constituent's Spouse's First Name.Please note that this is a free-form text field and does NOT relate to any customer relationships. Select the Allow to Place Order option to allow the constituent to place orders. Select the Bill Primary Employer option to add the primary employer as the bill-to on all orders for this constituent. This checkbox is checked by default, if the CUS DEFAULT_BILL_PRIMARY_EMPLOYER application parameter is set to "Y". If this checkbox is checked and a primary employment relationship does NOT exist for the constituent, the bill-to address on all orders for this constituent will default to the constituent's primary address. When the Bill Master Account option is selected, if the constituent is a sub-customer (which means their SUB_CUSTOMER_ID is > 0), their master customer will be billed. The master customer for a sub-customer is the customer that has the same MASTER_CUSTOMER_ID as the sub-customer but whose SUB_CUSTOMER_ID = 0. By default, if the selected constituent is a member of a subgroup, that subgroup will be displayed as the Primary Search Group. If necessary, set the Override Primary Search Group toggle to Yes. When set to Yes, the Primary Search Group field is enabled to the right. Search for and select a new Primary Search Group to override the existing. For company constituents: The constituent's Constituent Class was defined during constituent creation. If necessary, change this. If necessary, select a Revenue Range from the drop-down.Values in the drop-down are populated based on the non-fixed codes defined for the CUS "REVENUE_RANGE" system type. Select the Allow to Place Order option to allow the constituent to place orders. Select the Bill Primary Employer option to add the primary employer as the bill-to on all orders for this constituent. By default, if the selected constituent is a member of a chapter, that chapter will be displayed as the Primary Search Group. If necessary, set the Override Primary Search Group toggle to Yes. When set to Yes, the Primary Search Group field is enabled to the right. Search for and select a new Primary Search Group to override the existing. Click Save. Adding a New Custom Demographic The Custom Demographics maintains records on demographic values that can be assigned to individuals or organizations. Since the types and codes used in this screen are user-defined, you can use them to define and store additional demographic elements not otherwise stored in the system. These attributes can then be associated with a customer and later used to perform sorting. To add a new custom demographic: From the Custom Demographics section of the Demographics screen, click New Custom Demographic.The Add New Custom Demographic screen displays, as shown below. Select the Demographic from the drop-down.Values are populated based on the non-fixed CUS "DEMOGRAPHIC" system type. Select the Sub-Demographic from the drop-down.Values are populated based on the subcodes defined for the non-fixed CUS "DEMOGRAPHIC" system type. Enter the Number of the list. By default the Begin Date is set to today. Change this if necessary. Select an End Date from the drop-down, if necessary. Enter any Comments, if necessary. Click Save.
